Sending a Quote

When a quote is ready for the client, Forge lets you preview the PDF, compose an email, and send it — all from one page.

Prerequisites

Before sending a quote, make sure:

  • Company details are complete — your company name, address, logo, and tax numbers appear on the PDF. If anything is missing, Forge shows a warning with a link to Settings > Company Details.
  • A client is assigned — the quote must have a client with at least one contact email address. If no client is assigned, Forge prompts you to go back and add one.
  • The quote has parts — an empty quote won't produce a useful PDF.

Opening the Send Page

There are two ways to reach the send page:

  1. From the quote detail page, click the Review & Send button in the header.
  2. From the quote list, click the three-dot menu on a quote row and select Review & Send.

The Send Page Layout

The send page has two main areas:

  • Email composer (top) — where you set recipients, subject, and body text.
  • PDF preview (bottom) — a live preview of the quote PDF exactly as the client will see it.

Composing the Email

Recipients

Forge pre-selects the client's primary contact as the "To" recipient. You can:

  • Add more recipients by selecting from the client's contact list.
  • Add CC recipients to copy other people on the email.
  • Remove recipients by clicking the X next to their name.

Each contact's preferred language is shown. The PDF is rendered in the first "To" recipient's language.

Subject

The subject line is pre-filled with Quote [number] from [your company name]. Edit it if you prefer a different format.

Body

The email body is pre-filled from your email template (configured in Settings > Quote Settings). The template includes your quote number, validity date, and company name. Customize the text for this specific email as needed.

PDF Preview

Below the email composer, you'll see a full preview of the quote PDF. This is exactly what gets attached to the email.

The PDF includes:

  • Your company logo, name, and address
  • The client's name and billing address
  • Quote number and date
  • A table of all parts with materials, operations, and pricing
  • Subtotals, taxes, and grand total
  • Payment terms, delivery terms, and validity period
  • Terms and conditions
  • Any client-facing notes

Client-Facing Note

You can edit the client-facing note directly on the send page. Changes are saved immediately. This note appears on the PDF as a message from you to the client — useful for calling out special conditions, assumptions, or next steps.

Downloading the PDF

Click the Download PDF button to save a copy to your computer. This is useful if you need to send the quote through a different channel (e.g., in-person meeting, print).

Sending

Click the Send Quote button to send the email. Forge:

  1. Generates the PDF from the preview.
  2. Uploads it to secure storage.
  3. Sends the email with the PDF attached to all recipients.
  4. Updates the quote status to Sent (if it was in Draft or Pending).

A success message appears when the email is sent, and you're redirected back to the quote detail page after a few seconds.

The Send button is disabled until at least one "To" recipient is set. You can't send a quote without a recipient.

After Sending

Once a quote is sent:

  • The status changes to Sent.
  • The email and its recipients are recorded in the quote's activity timeline.
  • You can send the quote again at any time (e.g., after making changes). Each send generates a fresh PDF.

When the client responds, update the status manually:

  • Approved — the client accepts. You can then convert the quote to a job.
  • Rejected — the client declines.
  • Revised — you need to update the quote and re-send.
